THE PROMISUS WORKFLOW

Create Sales Order

  • Enter item and quantity into the sales order.
  • Shipment date defaults to the order date.

Confirm & Promise

  • Auto-reservation is performed for available quantities.
  • Confirmation lines are pre-populated with details.
  • Status options: Confirmed, Soft Confirmed, etc.

Automated Communication

  • Once confirmed, an email is automatically sent to the customer with the promised shipment and delivery dates.
  • If any changes occur to the promised dates, such as supply delays, the customer is notified instantly with predefined email templates.

Repromising

  • When there is a change in supply, the expected receipt date is modified on the purchase order.
  • Reservations are automatically canceled and re-established, to update the shipment date on the sales order line.
  • The shipment date is updated, and a new confirmation line is generated.
  • The status changes to Re-Promised, and the updated information is communicated to the customer via email.

Track Everything via Confirmation Lines

  • Confirmed: Quantities are reserved against available stock (Item Ledger Entries).
  • Soft Confirmed: Quantities are reserved against purchase orders or transfer orders.
  • Not Confirmed: No quantities are reserved yet.
  • Promised: Shipment is confirmed, and the customer has been notified.
  • Re-Promised: Shipment dates were modified due to supply changes, and customers were notified of the updated promise.

Dashboard for Sales Order Visibility

  • Sales order processors can view all orders, track shipment statuses, and monitor any deviations from initially promised dates through an intuitive dashboard.
  • The system provides clear visibility of current and revised shipment dates, helping businesses manage customer expectations effectively.
